Financing your API program is one of the most important parts of study abroad, and it can also be one of the most stressful. API encourages students to start planning EARLY.

Use the tabs in this financial section to review all aspects of API’s Financial Services. API also urges students to discuss the Financial Policies with their parents and study abroad advisors before applying.

Payment Questions

How Do I Pay API?

Online:

  • Payments are accepted online via the student’s API account. Once logged into the student’s account, payment can be submitted on the Payments Tab. Click the Make A Payment option to choose the type and amount of payment you would like to submit.

Forms:

  • API also accepts payment forms that can be found attached to every billing statement.

Direct Link:

  • A direct link where payment can be submitted without logging in to the student account is also available. Please contact an API Financial Services Advisor for more information about this link.

Phone:

  • API cannot take any payment over the phone.

Accepted Types of Payment

API accepts the following payment methods

(ACH) bank draft/transfer (Bank account number and Routing number needed)

  • Log in to student’s @api account and click “Make a Payment” (located on the Payments tab) and submit a bank draft/ACH payment electronically.There is no fee to pay by bank draft. Payments are processed through a secure online account and bank information is destroyed after the payment has been entered.

Credit Card & Debit Card

  • Paying by this method involves a 2.9% convenience fee for US cards or a 4.5 % convenience fee for International & International address cards.
  • Visa, Mastercard, Discover are accepted.
  • To pay by credit card, log in to your @api account and click “Make a Payment” (located on the Payments tab) and submit a credit card payment electronically. Payments are processed through a secure online account and card information is destroyed after the payment has been entered.

Personal Check

  • Make checks payable to Academic Programs International and send to API’s Austin address. Each check should include student’s full name and API account number.

Money Order

  • Make money orders payable to Academic Programs International and send to API’s Austin address. Money orders MUST include the student’s full name.

International Wire

  • API does allow wire payments from international students who do not have a US bank account. Please contact API financial services for more information.
  • Please note that a $30 fee can be charged for all returned checks, returned ACH payments, or disputed credit card payments.

API makes all arrangements for students well before your arrival onsite.

These arrangements can include securing your quality housing, submitting tuition deposits and fees at your host university, and arranging transport and lodging for orientation and excursions.

As a result, API must collect all fees prior to the start of the semester.

The only exception to this API standard is if you are using financial aid to pay for all or a portion of your final payment amount due. You must first show proof of financial aid by completing and returning API’s FAVF form. Then the amount of financial aid on your API account will be given a new due date, usually two weeks after your financial aid disbursement date.

No, but API does offer a final payment extension plan called the Alternative Payment Arrangement (APA), which will extend your final payment deadline to 30 days before your program start date.

Please note that the APA is not considered a payment plan as API makes all arrangements on the student’s behalf prior to the program start, and, as such, cannot grant extended payment plans past the program start date.

Alternative Payment Arrangement (APA)

An optional service which can extend the final payment due date until 30 days prior to the program start date.

Step 1. Complete and return the APA form to API before or on the student’s final payment date.

Step 2. Make payment for the $1000 down payment which is put toward the final balance and the $150 APA fee.

Step 3. Make sure the $400 confirmation payment and $275 security deposit also have been paid.

Step 4. Once the APA form and these payments have been applied to the student account, look for an updated billing statement showing that your final payment deadline date has been adjusted to 30 days prior to program start.

Who might need or want the APA?

Many students who are unable to pay their program balance or provide a finalized financial aid verification form by their final payment deadline choose to sign up for the APA plan.

Please contact an API Financial Services Advisor with any questions.

If your payment to API is not received by the due date, it is possible that your account will be charged a late fee of $180. Students will receive billing statements warning that the payment is past due. API will then inform the student that a late fee will be charged if payment is not submitted. Please always stay in contact with your Financial Services Advisor in the case that your API account is past due.

A one-time late fee of $30 could be charged for each post-acceptance form that is not received by the due date.

API advises students to carefully review the following payment policies. In certain instances, a student’s home university may assume some or all of the program fees, including the application deposit and/or the confirmation payment. API urges all students to discuss the following payment policies with their home university before applying to study abroad.

Note: API reserves the right to accelerate the payment schedule below or require full payment with the application depending upon the date of application and the program start date.

Application Deposit

A non-refundable $150 deposit must accompany an application. Applications are accepted on a rolling basis and no application is processed without the deposit. The deposit is applied to the program cost and is not an additional fee. The application deposit is non-refundable unless the student is not admitted into the API program or the API program is cancelled. Failure to complete the application does not warrant a refund of the application deposit.

Confirmation Payment and Intent to Enroll Form - STUDY ABROAD

Upon acceptance into an API program, students have 1 to 2 weeks to confirm their participation in the program by submitting an Intent to Enroll (ITE) form and a non-refundable $400 confirmation payment. (Late applicant payment schedule and timelines may vary.)

API cannot make any accommodations or on-site reservations on behalf of a student until the ITE form and confirmation payment have been received. The confirmation payment is applied to the program cost and is not an additional fee.

Students attending universities that cover the confirmation payment are advised that only the ITE is required to confirm participation.

Once the ITE and Confirmation Payment are received, a student is confirmed for the program and is held responsible to API’s withdrawal policy. Read more about API’s withdrawal policy here.

Please note that students are not responsible for any program fees beyond the initial application deposit if they do not confirm their participation in the API program. Please contact your API program coordinator in the event a withdrawal is needed from the program.

Confirmation Payment and Intent to Enroll form - INTERNSHIPS

Upon acceptance into an API program, participants have 48 hours to confirm their participation in the program by submitting an Intent to Enroll (ITE) form and a non-refundable $400 confirmation payment. (Late applicant payment schedule and timelines may vary.)

Final Payment

The remaining balance of the program cost is due by the Final Payment deadline listed on your API account payment schedule. Please refer to your API billing statement and online API account payment schedule for exact due dates. Any student who does not meet this deadline may incur a $180 late penalty.

Security Deposit - STUDY ABROAD AND INTERN ONLY

A $275 security deposit is due by the final payment deadline for all programs.

A fee of $95 will be retained from all security deposits to cover standard cleaning fees and general maintenance fees, including minor repairs and standard touch-up painting.

The remaining $180 is refundable provided that: 1) no additional fees are assessed on-site for incidentals, damages or excessive utility usage; and 2) the API program fee has been paid in full.

Security deposit refunds take up to 90 days (3 months) to process and mail out after program end. Refund checks are sent to the student’s permanent address on file.

Once API receives payment, it can take up to 3 business days for the payment to be processed and then applied to your API account.

All payments receive a notification email confirmed that the payment has been submitted to API.

Remember that your bank account or credit card statement will be the very first place where your payment is reflected.

Please note that you can always log into your @api account to see your payment schedule and balance details. You will be able to confirm there that your payments have been applied to your account.

Billing statements are emailed to your billing contact email and student email once a month and after any API account updates or adjustments.

You can also request additional or updated billing statements by contacting your API Financial Services Advisor.

It could be possible to opt out of certain portions of your program, and it’s possible that you will receive a deduction if you choose to do so. However, API never recommends opting out of any part of your program, at risk of not being able to get the most out of your experience abroad.

If you wish to opt out of some part of your program, you will need to discuss it with your program manager as soon as possible.

Yes, API accepts all forms of financial aid according to approval from the home university or organization. However, API does not issue or offer financial aid.

Once proof of financial aid is provided in the submission of a completed FAVF form, API then adjusts a student’s payment schedule based on disbursement dates of financial aid awards. This FAVF form acts as a deferral for any final payment amount covered by the financial aid. This form must be submitted by the date of the original final payment deadline.

Please note that all deposits are not allowed to be covered by financial aid and those payments must be submitted at their respective due dates. This includes the $150 application deposit, $400 confirmation payment, and $275 security deposit in addition to any additional fees on the API account.

If you need to withdraw from your program, you will need to alert your program manager, in writing, as soon as possible.

It is possible that program arrangements have already been confirmed on your behalf, and you will still be responsible for making payments to API for these arrangements.

Yes, API does offer a way for you to safeguard the majority of your program payments.

API offers Program Withdrawal Safeguard (PWS) for its participants as an optional service.

The PWS is designed to safeguard program participants’ financial investment in their study abroad experience in case of program withdrawal for any reason.

Please refer to the PWS section of the Withdrawal Policy for more details.

The $150 application deposit is only refundable if you’re not accepted into an API program, or if your program is canceled for any reason.

It is NOT refundable if you don’t complete the application process, or, upon acceptance, decide not to follow through with your program.

Students who elect to complete a second (or third or fourth!) session with API, will receive a 5% discount on the subsequent session’s program cost.

NOTE - this discount applies to study abroad programs.

Any API alumni who participate in a full-time internship program will receive a $200 discount.

API also offers a sibling discount of $100 for siblings who study abroad at the same time with API or during separate sessions.

Because API is not a Title IV institution, we do not issue 1098T forms. However, when requested, we will provide you with a billing statement showing the payments you’ve made to API, as well as a price breakdown of your program. You should take these documents to a tax professional to find out what portion of your API program cost is tax deductible.

These are prepaid tuition plans and they go by a few different names, mostly depending on which state the funds are located.

API does accept payments made from 529 plans but please be aware that complications can arise.

You will need to contact the 529 organization and find out their requirements for making payments to a 3rd party provider of study abroad programs like API. Many times the 529 plan/organization will release the funds directly to API or directly to the student/parent and then the student/parent is able to submit payment to API.

At times, a 529 plan will NOT release the funds directly to API or student/parent.

Many times this happens because API isn’t a Title IV institution like universities are. In this case, college students would need to check with their home university to see if they would be willing to set up a special direct bill and be the go-between for the funds and payment to API. Gap year students may run into more difficulties as they would not have a university/home institution to work within the case that a 529 plan refuses to submit payment directly to API or the student/parent.

API recommends asking questions of your 529 plan well in advance of program payment deadlines.

In the past few years, API has had a small number of students attempt to use their GI Bill funds toward their API program. Because of VA and home institution regulations, this process has been complicated with no certainty of success as the VA benefits were not allowed to come directly to a third party provider like API.

We recommend that students meet with their VA coordinator and discuss the content in the links below.

API awards approximately $500,000 in study abroad scholarships annually ranging from $250 -$1,000 per student. To maximize the number of students who benefit from API scholarships, API awards a maximum of $1,000 per summer student and a maximum of $2,000 per semester/academic year student. As such, students who may be eligible for multiple sources of funds from API (e.g., an affiliate scholarship and a Gilman matching award) are advised that the total contribution from API cannot exceed $1,000 per summer student and $2,000 per semester/academic year student. Participants may apply for multiple API scholarships (though may only be awarded one) and are encouraged to refer to the list of additional scholarship and funding resources included below.

You must already be accepted into an API program in order to apply for one of our scholarships.

API can also recommend external scholarships. A list of these opportunities can be found on the scholarship section below.

NOTE - API scholarships are currently only available for study abroad and internship programs.

Financial Aid Resources

Students using financial aid are encouraged to use the checklist below for guidance through the financial aid process:

Step 1:

Upon acceptance into your API program, contact your school’s Financial Aid Office.

Inform them of your study abroad plans and find out their requirements for using your financial aid to pay API. Some universities require that API fill out a Consortium Agreement. If necessary, provide this to API as soon as possible.

Step 2:

Access the Financial Aid Verification Form (FAVF) on your @api account or open the document attached to your API acceptance billing statement. Complete the form with the guidance of your financial aid advisor.

Step 3:

Submit the form on the forms tab of your API account or by email to financialservices@apiabroad.com before your final payment deadline

*If your aid won’t be awarded or can’t be finalized by your final payment due date, you should attempt to complete a preliminary version of the FAVF. Based on this estimated aid information, API can estimate what amount of aid you will receive, and therefore what portion of your API program cost will not be covered by aid. The amount not covered, along with the $275 security deposit, is due by the final payment due date.

*If you can’t get a preliminary FAVF completed and returned to API by your final payment due date, you must sign up for API’s extension plan, Alternative Payment Arrangement (APA). You will then have until 30 days prior to your program start date to send payment in full and/or a finalized FAVF. Access the APA form on your @api account or open the document attached to the email with your API acceptance billing statement.

Step 4:

Submit payment for any amount not covered by aid, any additional fees, and the $275 security deposit on or before your final payment due date.

*The $400 confirmation payment and $275 security deposit due dates cannot be deferred.

Step 5:

Make arrangements to get your financial aid funds to API as soon as they are disbursed.

Since, most often, financial aid isn’t released until after your program start date, you’ll want to ensure that these arrangements are made before you go abroad. Some schools will send the funds to API directly. If this isn’t an option, there are still other possibilities. You can set up an automatic billpay through your bank, authorize an electronic bank draft through API Financial Services, or have a responsible 3rd party, such as a parent, added as a signatory to your bank account, so that they’re able to cash and write checks on your behalf.

Withdrawal Policy

Once a student has officially confirmed their participation in an API program by submitting an Intent to Enroll form and the $400 confirmation deposit (if not covered by the student’s home university), students become subject to the standard cancellation policy as follows:

  • Program cancellations and requests for refunds must be made in writing.
  • Refunds and cost liability are determined based on the date when written cancellation notice is received from the student.

WITHDRAWAL 61 OR MORE DAYS PRIOR TO PROGRAM START DATE: the student is responsible for the application and confirmation deposits, as well as any additional fees accrued.

WITHDRAWAL 1 – 60 DAYS PRIOR TO THE PROGRAM START DATE: the student is responsible for 50% of the program cost plus the application and confirmation deposits, as well as any additional fees accrued.

WITHDRAWAL ON THE PROGRAM START DATE OR AFTER THE PROGRAM HAS BEGUN: the student is responsible for 100% of the program cost as well as any additional fees accrued.

  • The application deposit is non-refundable unless a student is not admitted into the API program or the API program is cancelled.
  • Once submitted, the confirmation payment is non-refundable.
  • No refund is given if a student is removed from a program as a result of a violation of API’s Study Abroad Agreement, which is included in the acceptance packet. No housing refunds are granted if students are removed from housing due to failure to abide by housing regulations.
  • Students are responsible for program fees according to the above schedule. Should a student withdraw within the time frame listed above having not paid the due portion of the program fee, they are invoiced for the portion due and held responsible for paying that amount.
  • API offers Program Withdrawal Safeguard (PWS) for its participants as an optional service. PWS is designed to safeguard program participants’ financial investment in their study abroad experience in case of program withdrawal for any reason. Please refer to the PWS section of this website for more details.

Academic Year Students:

Upon arrival in-country, some students decide that an academic year of study is not the right choice for them. Students can minimize withdrawal penalties if they withdraw from the second session prior to the API winter/spring payment deadline. If early notification of withdrawal is received in writing by the API Texas office, the student’s program price will be changed to the standard price for a fall session and the student will be assessed a withdrawal fee of $550. In instances, however, in which API has already made payments on the student’s behalf for the full year that are non-refundable (i.e. tuition), the student would also be assessed a penalty for the pre-paid, non-refundable fees. Students who notify us of their intent to withdraw after the winter/spring payment deadline will be responsible the full year program cost.

An optional service from ACADEMIC PROGRAMS INTERNATIONAL (API)

Program Withdrawal Safeguard (PWS) can provide families and students with greater peace of mind by refunding program payments if the student has to withdraw from the API program prior to the official program start date. PWS allows for the refund of all program payments with the exception of the $150 application deposit.* To apply for PWS, the student must submit a completed API Program Withdrawal Safeguard (PWS) Form and payment of the PWS fee prior to the student’s final payment deadline.

Participants can purchase PWS any time before the program’s final payment deadline, or two weeks after acceptance, whichever is later. Any students submitting their application within twenty-one days of a program’s start date will not have the option to purchase PWS.

Furthermore, all late fees and additional non-program fees (such as postage, visa processing or convenience fees) incurred by the applicants, as well as all airfare purchases (whether made through API or independently), are excluded from PWS. If a participant changes program sites or sessions, a new PWS will need to be purchased to cover the participant’s new program, if desired. PWS FAQs

API offers Program Withdrawal Safeguard (PWS) for its participants as an optional service. PWS is designed to safeguard program participants’ financial investment in their study abroad experience in case of program withdrawal for any reason.

Great study abroad memories shouldn’t be left to chance. Unexpected illness or injuries to you or family members can cause you to miss your program, or you may simply change your mind. There’s no shortage of potential program attendance problems. That’s why API offers a safeguard.

Program Withdrawal Safeguard ensures that you are refunded program payments, less the $150 application deposit, should an unexpected reason cause you to withdraw from the program before the program start date*. On occasion, participants who don’t purchase Program Withdrawal Safeguard (PWS) have found themselves shouldering as much as 50% of the program cost if withdrawal occurs within 60 days of the start date when the unexpected occurs.

*All late fees and any additional fees accrued (such as postage, visa processing or convenience fees, single room fees), as well as all airfare purchases (whether made through API or independently), are excluded from the refunded amount.

PWS reimburses program payments, less the $150 application deposit. All late fees incurred by the applicant and any additional fees accrued (such as postage, visa processing, convenience fees, and single room fees), as well as all airfare purchased (whether made through API or independently), are excluded from the refunded amount.

Though most airfares are typically nonrefundable, they usually can be used at a different time or for a different trip (read your airline’s or travel agent’s refund or exchange policy in regard to airfares).

PWS is non-refundable.

PWS is not transferable if a participant changes program sites or sessions. If a participant changes program sites or sessions, a new PWS will need to be purchased to cover the participant’s new program, if desired.

A decision to withdraw from an API program on or after that program’s start date will result in no refund. However, included in the participant’s program is medical and trip interruption insurance. Please refer to API‘s insurance brochure, which was included the acceptance packet, for more information.

The best time to purchase PWS is as soon as you are accepted into the program. Participants can purchase PWS any time before the program’s final payment deadline, or two weeks after acceptance, whichever is later. Any students submitting their application within twenty-one days of a program’s start date will not have the option to purchase the PWS.

PWS is not currently available to students from Direct Bill universities.
